We care deeply for our clients and staff and want to provide everyone with exceptional service as well as be respectful of everyone’s time. Therefore these policies are in place to ensure an exceptional experience for all. 
 

Card on file 

A valid credit card on file is required for all appointments. Must be uploaded to profile within 24 hours of booking to secure the appointment, or the appointment will be automatically cancelled. It is the patient’s responsibility to keep a valid card on file at all times. CareCredit card cannot be used as the card on file. In the instance of a declined transaction, a $35 transaction fee will result.

Late Policy

If 15 minutes or more has passed, your procedure may have to be rescheduled due to insufficient time for your service. If your service has to be rescheduled, the cancellation policy will go into effect. 

 

Cancellation Policy

If you need to cancel your appointment, we respectfully request at least 48-hour notice. Cancellations less than 24 hours in advance will result in a cancellation fee—NO exceptions to ensure fairness to staff and all patients waiting for appointments.

No-Show Policy

A no-show will result in a no-show fee and patient will not be allowed to rebook.

Refunds 

We do not offer refunds on services rendered or retail products. If you are unhappy with the service you received, please contact the office so we can address your concerns promptly.

Children and Other Guests 

To ensure a safe injection or facial experience, our policy does not permit children in the treatment rooms. If children are brought to the appointment, your appointment will have to be rescheduled and the cancellation policy will go into effect. Due to limited space, you may bring one person back into the treatment room with you.

Payments Accepted

Refine KC does not bill insurance.

We accept Cash, most major Credit Cards, CareCredit, Cherry Financing, and Refine KC Aesthetics gift cards; we do not accept checks. A convenience fee of 2.9% is added to Card purchases. All financing services will incur a 6% finance charge added to their final total.

 

Gift Cards 

Gift Cards can be purchased in store or online. Gift cards are not refundable. Gift cards are not redeemable for cash. 

 

Quiet Environment 

 As a courtesy to other guests, please maintain a quiet level of conversation in the spa. Additionally, we ask that all guests silence their cell phones during each visit to the spa. 
 

Spa-Client Relationship 

We love having you as a patient, but we do reserve the right to refuse service at any time, to anyone, for any reason.

Late Policy
We understand that life gets crazy and things come up. However, if you are running more than 10 minutes late, your procedure may be shortened and/or canceled if there is not enough time to complete the procedure. If more than 15 minutes has passed, your deposit will be be forfeited and procedure will be cancelled unless otherwise discussed with your
provider.

Cancellation Policy
We understand that life events happen requiring schedule adjustments. If you need to cancel your appointment, we respectfully request at least 48-hour notice. Please understand that when you forget or cancel your appointment without giving enough notice, we miss the opportunity to fill that appointment time and clients on our waiting list miss the opportunity to receive services they need. Cancellations less than 24 hours in advance result in a forfeit of your deposit.

No-Show Policy
If you no-show on the day of your appointment we will charge you 100% of your booked service price with your on-file credit card. You will then have to prepay for all future appointments. This is to cover the providers time that is lost. We reserve the right to not rebook services with any client who no-shows.

Refunds
We do not offer refunds. However, we will always want to ensure you are happy with your results. If you are unhappy, please schedule a follow-up where you provider can address your concerns promptly. Retail products are final sale. If you no longer wish to use your appointment deposit towards the intended treatment, it will become a credit, good for 12 months from the date of purchase, for use towards other Medspa products or services.

Cell Phones
Please place your phone on vibrate while in the Spa. If you must make a call, please remember that others are getting facials and spa treatments and appreciate your quiet voice.
